    Overview

    Position Overview:
    The Executive – Fabric Sourcing is responsible for managing the procurement of quality fabrics required for garment
    production. This role involves identifying reliable suppliers, negotiating pricing, ensuring timely delivery, and coordinating with
    internal teams to meet production schedules while maintaining cost efficiency and quality standards.

    Responsible For

    Sourcing & Procurement:
    •  Identify, evaluate, and establish relationships with fabric suppliers and mills locally and internationally.
    • Research market trends and innovations to source fabrics that meet design and production requirements.
    • Work closely with Design, Merchandising and Production teams to establish and facilitate fabric developments, counter-sourcing, production flow and delivery completion.
    •  Analyse fabric developments for quality or testing-related call-outs and come up with proposals for improvement.
    Supplier Management:
    • Negotiate pricing, terms, and conditions with suppliers to ensure cost-effectiveness.
    • Conduct periodic supplier assessments to evaluate quality, reliability, and compliance with company standards.
    • Timely support on fabric development and enquiries from the design and merchandise team.
    Quality Assurance:
    • Ensure the sourced fabrics meet predefined quality standards and technical specifications.
    • Arrange fabric testing and inspections as required.
    • Ensure quality standard of bulk fabric goods and their dye lots match with approval.
    • Review bulk fabric test and approve before despatch from supplier premises.
    Inventory Management:
    • Monitor fabric inventory levels to avoid shortages or overstocking.
    • Coordinate with production teams to plan fabric orders based on production schedules.
    Cost Control:
    • Analyze cost factors and implement strategies to minimize procurement expenses without compromising quality.
    •  Negotiate target pricing and shipment delivery schedule with suppliers and report to the Manager to finalise.
    •  Support the account/ finance team to have clear and transparent financial transactions with all suppliers. Getting regular statements and mutual reconciliations done.
    • Maintain accurate records of purchase orders, delivery schedules, and supplier agreements.
    • Ensure compliance with ethical sourcing practices, sustainability goals, and relevant regulations.
    • Review and comment on fabric defects highlighted by the QA team. Settle issues and problems between suppliers and production units.
    • Create ERP PO for all fabric purchases and share with suppliers. Follow relevant accounting procedures on fabric receipt, payment requests and claim settlements.
    • Maintain all relevant fabric swatches of approved quality/colours and have a library record for effective sourcing/counter sourcing of various fabrics.
    • Create and maintain tracker charts for developments and bulk orders in Excel for frequent review with the manager.
    Collaboration:
    • Work closely with design, production, and merchandising teams to understand fabric requirements.
    • Address any issues related to fabric supply that may impact production timelines.
    Problem Solving:
    • Resolve disputes with suppliers, including delays, quality issues, or order mismatches.
    • Review and troubleshoot potential issues with suppliers to ensure quality closure of bulk.
    • Follow up with transporters to get the fabric in-house within the timeline. Settle transporter freight payments by submitting the relevant documents to the accounts team periodically.

    Qualification

    • Bachelor’s degree or Diploma in Textile Engineering or a related field

    • Excellent negotiation, communication, and relationship-building skills.
    • Proficiency in Microsoft Office and ERP systems.
    • Familiarity with sustainability standards in fabric sourcing is a plus.

    Educational Requirements

    • 3–5 years of experience in fabric sourcing or procurement in the garment industry
